Privacy Policy

This Privacy Policy explains how ChatSabi ("we", "our", "us") collects, uses, stores, and protects your information when you use our website, mobile app, and related services.
1. Information we collect
- Account data: your email address, a salted and hashed password, and an optional display name.
- Chat content: messages you send, AI replies, citations, and files you attach (for example PDF, Word, Excel, CSV, text, or images).
- Voice and audio: recordings you start in chat or in Apps (Transcribe, Translate, voice messages). Audio is sent to our servers only when you begin a recording.
- Generated content: replies from our AI features, meeting summaries, transcripts, translations, and exports you request.
- Operational metadata: timestamps, conversation IDs, app usage, and short server logs needed to operate and secure the service.
- Guest usage: if you use ChatSabi without signing in, we may store a device-scoped identifier and daily usage counts locally to enforce free-tier limits.
2. Device permissions (mobile app)
The ChatSabi mobile app may request access to device features only when you use a feature that needs them. You can deny any permission and still browse; features that require it will ask again when you try them.
- Microphone (optional): voice messages in chat and audio recording in Transcribe and Translate Apps.
- Photos and camera (optional): attaching images in chat and the Photo Edit app. Only items you select or capture are used.
- Files and documents (optional): the system file picker lets you upload PDFs, Word files, Excel spreadsheets, CSV files, and text documents in chat and Apps. We do not scan your entire device storage.
- Clipboard (optional): when you tap Copy on an answer, transcript, or meeting note, or when you paste a meeting link yourself.
- Local cache: signed-in chat history may be cached on your device for faster loading. Cache is cleared when you sign out or delete your account from the app.
We do not access your location, contacts, SMS, or health data on your device.
3. Optional connected accounts and integrations
Some features are optional. They only apply after you choose to connect an account or paste information yourself. These features use ChatSabi AI Inference and Technical Providers (listed in Section 6) that act on our instructions—they process data only as needed for the feature you enable.
- Email (optional): if you connect Gmail or Outlook via Composio or Unipile, you sign in through a secure browser flow. ChatSabi may then list threads you open and perform actions you confirm (such as archive, delete, or reply). Email is never read unless you connect an account and use email features.
- Calendar (optional): if you link Google or Microsoft calendar via Unified.to in Settings or the Virtual Guest / Meetings app, connected calendar metadata (such as calendar name and timezone) may be shown after sign-in. Connecting a calendar is not required to send a meeting assistant.
- Meetings and meeting invites (optional): in the Virtual Guest / Meetings app you may paste a video-meeting join link (for example from Zoom, Google Meet, or Microsoft Teams). Recall.ai may join that link on your behalf and return a transcript and summary stored in your ChatSabi account. We do not automatically read your calendar or email for invites—you provide the link.
- Spreadsheets (optional): if you connect Google Sheets via Composio, ChatSabi may create or write spreadsheets when you export Websets or load data in Chart Creator, only for spreadsheets you initiate or specify.
- Disconnecting: you can disconnect optional integrations in Settings. Disconnecting stops new access through that connection; data already stored in your ChatSabi account remains until you delete it or delete your account.
4. How we use your data
- To authenticate you and keep your sessions secure.
- To store chat history, uploads, and app outputs so you can revisit and continue work.
- To power AI features: depending on the task, nature of your request, and complexity, your messages and relevant attachment content are sent to ChatSabi AI Inference and Technical Providers only to generate a reply or complete the feature you requested.
- To run optional integrations you enable (email, calendar, meetings, spreadsheets) through third-party tools under our direction.
- To enforce usage limits for guest users and protect the service from abuse.
- We do not sell your personal data and we do not use your conversations to train our own models.
5. Where your data is stored
Account, conversation, and attachment data is stored on our servers. Passwords are never stored in plain text. Attachments and account data are tied to your user ID and are not shared with other users. A local on-device cache may hold recent chats for performance when you are signed in.
6. ChatSabi AI Inference and Technical Providers
To deliver AI replies, search, document processing, and optional integrations, we share the minimum data needed for each feature you request with ChatSabi AI Inference and Technical Providers — our contracted infrastructure, AI inference, search, retrieval, and integration partners. Depending on the task, nature of your request, and complexity, we use a variety of providers. They process data only to perform the task you requested, under their own privacy policies and contractual obligations with us that require appropriate data protection.
ChatSabi AI Inference and Technical Providers include:
- Together AI — language models, speech-to-text, translation, and image generation
- Google (AI models) — language and vision models for chat answers and chart planning
- Groq — language model inference (fallback)
- Exa — web search and research retrieval
- Firecrawl — web page search, scraping, and site crawling
- Tavily — supplemental web search
- Google Places — place and location data for structured web search results
- LlamaParse — document and PDF parsing
- LlamaCloud — advanced document extraction and table parsing
- TranscriptAPI.com — YouTube transcript retrieval
- Recall.ai — virtual meeting guest, recording, and transcription
- Composio — optional Gmail, Outlook, and Google Sheets actions you confirm
- Unipile — optional email mailbox integration
- Unified.to — optional Google and Microsoft calendar linking
- Clerk — account sign-in and authentication
- MongoDB — cloud database and file storage for your account data
We may add or change providers as the service evolves; this list reflects providers in use as of the effective date above.
7. Your rights and choices
- Access: view your conversations and connected features inside the app or website when signed in.
- Delete a single chat: use the menu next to any conversation in the side drawer.
- Disconnect integrations: remove optional email, calendar, or spreadsheet connections in Settings.
- Delete your entire account and associated data: Settings → "Delete account", or visit our account deletion page. This permanently removes your user record, conversations, messages, uploads, and meeting notes from our servers. This action is irreversible.
- Device permissions: revoke microphone, photo, or camera access anytime in your device Settings.
- Delete some data without deleting your account: see our data deletion page for in-app steps and email requests.
- Email support@chatsabi.com for data export or other privacy requests.
We follow the principle of data minimisation—if a feature can work without storing your data, we avoid storing it. Optional integrations stay off until you turn them on.
8. Security
Communication between the app, website, and our servers uses HTTPS (TLS). Passwords are hashed. Session tokens on mobile are stored in the platform secure store (iOS Keychain / Android Keystore). Optional OAuth connections use secure browser sign-in; we do not store your email or calendar provider passwords.
9. Cookies and similar technologies (website)
On the website we use cookies for purposes such as:
- Strictly necessary: security, load balancing, and keeping you logged in where applicable.
- Preferences: remembering choices like theme or layout where the app stores them.
- Analytics: understanding aggregate usage (for example, privacy-oriented analytics) to improve the product.
When you click Accept all on our cookie notice, we record your choice in a cookie so we do not show the banner again on that browser. You can clear cookies in your browser settings at any time.
10. Children
ChatSabi is not directed at children under 13. If you believe a child has created an account, contact us.
11. Changes
We may update this policy. Material changes will be communicated in-app or via email to the address on your account. The effective date at the top will be revised when we do.
